Applicant Center is a self-service platform that delivers on-demand access to and real-time status updates on the background checking and drug testing process. If you are completing the online background invitation form and require assistance to fill it out, please see below some common tips/information regarding filling in your screening invitation:
Entering in Your Name:
When completing the HireRight background invitation form, you will be required to input your First, Last, and Middle Name. If you do not have a middle name, you will check a field certifying that you do not have a legal middle name. Please make sure you enter your legal name (not nicknames, short names, etc.…).
***Please note the box that states “I certify this is my legal name” must be checked regardless of if you have a middle name or not so that you confirm that the name you provided is your legal name.
Entering Education:
The background invitation form will ask you if you have completed your degree. If you select "Yes" to this question, the "Date Degree Received" field will populate.
If "No" is selected, the "Date Degree Received" field will not populate.
Dates of attendance are required in both cases. You should not enter "end date" or future date if you still attend school and have not received a degree yet.
Entering Employment:
If the background invitation form calls for 3 employers and you only have 2, you may check the “Not applicable” or “Opt-Out” box.
* If you do not wish to enter any employment items or do not have any previous work history to enter, you may choose to “Opt-Out” of the entire section. You may discuss the reason(s) with your recruiter for this action.
* Please provide accurate contact phone numbers such as H.R. or Payroll.
* Only list the information (to be verified) that you know to be accurate; do not guess on dates or job title. Failure to enter accurate information will create discrepancies between the information verified and possibly delay the completion of the verification.
* If you worked at different positions within the same company, don’t enter that as a separate employer. Only enter the employer, complete dates of employment, and current position.
Temp/Staffing Agency:
* If you were placed at an employer through a temp or temp to hire agency, the name of the agency must be entered in the background invitation form - not the name of the business where you were placed.
* The business name that should be entered is the name of the business that PAID you; input the name of the company listed on your paycheck.
Self-Employment:
* Self-employment may be listed on the background invitation form.
Franchises:
* If you worked at a franchise, provide the information (contact number and name if available) where your records are housed (typically the corporate office). This will help expedite the verification process.
Current Employment:
*If you enter a current employer on the background invitation form, you will be asked if we have permission to contact them. If you select no, your current employer will not be contacted, and the request will be processed following your hiring company’s requirements. (In some cases, current employment can be verified through a third party without contacting a current employer).
Depending on the hiring employer‘s requirements, we may reach out to you to obtain employment documents to verify your current employment.
Current Address:
Most background invitation forms request you to enter your current address.
* If you just moved, enter the address where you currently reside.
* If you are in the process of moving and do not have or know the address of where you will be living, enter the address of where you currently reside.
Previous Addresses:
Some background invitation forms request address history up to 7 years. If you have more than one address within that time frame, it should be included here. If you are unable to provide one of your addresses within that timeframe, please input as much information as possible.
Candidates outside of the United States:
* You can change the dropdown to select the country or territory you are currently living in.
* APO address: An APO address is an overseas military address. APO stands for Army Post Office. If the online background invitation form does not allow you to enter a "Military State,” you may enter your last U.S. address.
Consent Form & E-Signature:
You will be asked to submit a consent form via a document provided by your employer, or electronically (“E-Consent”) by electronic signature (“E-Signature”).
If you are requested to provide E-Consent, an E-Signature will be required for authorization to proceed with the processing of the background check.
If you accidentally decline the electronic consent (“E-Consent”) form when completing the online background invitation form, follow the steps below:
Close the browser (if you are still in it) and log back in. Upon login, you will click the “Consent” link to provide your electronic consent.
Refusal to Electronically Sign the E-Consent:
If you refuse to sign the E-consent, please contact your recruiter for direction. If you do not electronically sign the E-consent, after 48 hours, the request is canceled, and you must contact your recruiter to discuss options for a new background screening request.
Mouse Signature E-Consent:
If you are requested to provide consent electronically, on a laptop or desktop, you may be asked to hold down your left mouse button and use the mouse to "draw" your signature. On a tablet or mobile device, you can “draw” your signature with your finger or stylus. If you make a mistake, you can clear the signature and start again.
